It's 2.15pm on a Saturday

You're halfway through a lip filler appointment when your phone buzzes. Then again. Then a third time. You can't stop, so you let it ring.

By the time you call back at 4pm, two of those three callers have already booked somewhere else. The third doesn't pick up.

That's the problem an AI receptionist is built to solve. If you've been searching for an AI receptionist in the UK, you've probably noticed most of what's out there is written for dentists, plumbers or generic "small businesses". This guide is written for aesthetics clinics: what an AI receptionist can and can't do for you, what it costs, the eight things to check before you buy, and how to work out if it will pay for itself.

What an AI receptionist actually does for a clinic

An AI receptionist answers your phone (and often WhatsApp and web chat) when you can't, in a natural voice, any time of day. For an aesthetics clinic, a good one will:

  • Answer every call within a few rings, including evenings, weekends and while you're treating

  • Answer the questions you get every day: prices, "does it hurt?", downtime, aftercare, parking, opening hours

  • Book consultations straight into your diary, or take details and send them to you instantly

  • Send a text or WhatsApp follow-up with your booking link, price list or consultation form

  • Pass anything urgent or clinical to you straight away, such as a patient worried about swelling after treatment

What it should never do: give medical advice, tell someone they're suitable for a treatment, or replace your consultation. The best setups are deliberately narrow: they handle the routine 80% of calls and hand the rest to you.

Think of it less as a robot and more as a receptionist who never takes a lunch break, never misses a call, and only knows what you've taught it.

What an AI receptionist costs in the UK

Most UK clinics will pay somewhere between £40 and £500 a month, depending on how many calls you get and how much setup you want done for you. There are three main ways to buy:

  • Off-the-shelf phone answering: from £39–£99 a month (IONOS). Good for very low call volumes and simple questions. Watch out for generic scripts that may not know your treatments, prices or booking system.

  • Self-serve AI platforms: £99–£500 a month for most small businesses (Softomate). Good for clinics happy to set it up and train it themselves. Watch out for the time it takes to set up, test and keep updated.

  • Done-for-you setup: a one-off setup fee plus a monthly fee. Good for busy clinic owners who want it built around their clinic. Check what's included and how changes are handled.

For comparison, a part-time human receptionist costs roughly £12,000–£16,000 a year once employer National Insurance and pension are included (Softomate). That's not to say AI replaces a great front-of-house person. Many clinics use AI to cover the hours and moments their team can't.

Whatever you choose, ask for the total monthly cost at your real call volume, not just the headline price. Per-call and per-minute charges add up quickly in a busy month.

8 things to check before you buy an AI receptionist

Most AI receptionists in the UK are built for any small business. An aesthetics clinic has extra things to get right. Before you sign up, ask every provider these eight questions:

  1. Where is patient data stored, and will you sign a data processing agreement? Callers often mention health details, which UK GDPR treats as special category data. You're responsible for it, so get this in writing.

  2. Does it connect to my booking system? Ask specifically about yours, whether that's Pabau, Phorest, Fresha, Timely or something else. A receptionist that can't see your diary can only take messages.

  3. Can it learn my treatments, prices and policies? Generic answers lose patients. It should know your prices, your consultation process, your deposit policy and your aftercare advice.

  4. What happens with clinical or urgent calls? A patient worried about a reaction must reach a human fast. Ask exactly how it hands over: a call transfer, an instant text to you, or both.

  5. Does it tell callers they're speaking to AI, and that calls are recorded? Being upfront builds trust and keeps you on the right side of data rules.

  6. How does it talk about prescription-only treatments? Botox and other anti-wrinkle injections can't be advertised to the public in the UK. Replies should stay factual and steer people to a consultation.

  7. Does it sound natural with British accents and phrasing? Ring a demo line yourself, and ask a friend with a strong regional accent to try it too.

  8. What does it cost at my real call volume, and can I leave easily? Ask about setup fees, per-call charges, minimum terms and who updates it when your prices change.

If a provider can't answer the first four clearly, keep looking.

Is an AI receptionist worth it for your clinic?

You can work this out in two minutes with your own numbers. Here's an example for a small clinic (swap in yours):

  • Calls missed each week (evenings, weekends, mid-treatment): 5, so about 20 a month

  • Share that would have booked if answered: 1 in 4, so 5 patients

  • Average first-visit spend: £250

  • Bookings won back a month: £1,250

  • AI receptionist cost a month: £150–£300

In this example, one or two extra bookings a month cover the cost. Everything after that is profit, before you count the top-ups, repeat treatments and referrals each new patient brings.

Don't know how many calls you miss? Check your phone's missed-call log for the last two weeks, including calls that came in while you were treating. Most clinic owners are surprised by the number.

Missed calls are only one of the gaps. Our guide to aesthetic clinic marketing and the five places enquiries slip through covers DMs, WhatsApp and contact forms too, with seven free fixes.

AI receptionist FAQs

What is the best AI receptionist in the UK for a clinic?

The best AI receptionist for a UK clinic is the one that knows your treatments, connects to your booking system, stores data safely and hands clinical questions to you. A cheaper generic tool that can only take messages often costs more in lost bookings.

Is an AI receptionist suitable for a small business?

Yes. Small and solo-run clinics often benefit most, because there's nobody else to answer the phone while you're treating. Many plans are priced for small businesses, and you can start with just evenings and weekends.

Will my patients mind talking to AI?

Most people mind being ignored far more. A clear, friendly voice that answers straight away, books them in and tells them a human will follow up usually feels better than voicemail. Be upfront that it's an AI assistant.

Can it answer WhatsApp and Instagram messages too?

Many can. If most of your enquiries come by message rather than phone, look for a setup that covers WhatsApp, Instagram DMs and website chat as well as calls.

How long does it take to set up?

It depends on the provider and how much you want it to know. A simple setup can be live within days. A setup trained on your full price list, policies and booking system takes longer, but it's the version that wins bookings.
